Privacy Policy

Last updated October 28, 2026

We ask for sensitive information when you join, so we want to be clear about what we collect, why, and how we keep it safe.

Who we are

Dwelly Realty Inc., Brokerage ("Dwelly", "we", "us") is a real estate brokerage registered with the Real Estate Council of Ontario (RECO). This policy explains how we handle personal information of real estate professionals who visit dwellyagents.com, sign up, or use our agent platform. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

  • Sign-up details: your full legal name, email address and phone number.
  • Onboarding and compliance details: RECO registration number, TRREB member ID, residential address, HST number, Social Insurance Number (SIN), banking details for direct deposit (institution, transit and account numbers and account holder name), your headshot, and your resignation letter or notice if you are transferring from another brokerage.
  • Professional profile answers you give us during onboarding, such as experience and areas served.
  • Contract records: your electronic signature and initials, the contract version you accepted, and the date, time, IP address and browser details recorded when you sign.
  • Payment records: the amount, date and Stripe payment and receipt references. Your card details are entered into Stripe's secure fields and are never stored on our servers. Stripe keeps your card on file so we can charge your membership renewal, and we keep only its brand, last four digits and expiry date. You can change the card or turn automatic renewal off in your dashboard at any time.
  • Training records: quiz attempts and scores.
  • Messages you send us by email, SMS or the website chat.
  • Basic technical information such as your device, browser and pages visited, used to keep the site secure and working. On our public pages we use Microsoft Clarity, which records anonymised page interactions (clicks, scrolling and screen recordings with form fields hidden) to help us improve the site, and Plausible, a cookieless analytics service. Neither is used on your dashboard, onboarding or agent portal.

Why we use it

We do not sell your personal information, and we do not use it for third-party advertising.

  • To set up and run your brokerage membership and the agent platform.
  • To meet our obligations under TRESA, RECO and TRREB rules, including registration transfers and record keeping.
  • To pay commissions and issue tax documents, which requires your SIN, HST number and banking details. Commissions are paid once your required documents (such as your resignation letter and headshot) are uploaded and verified.
  • To check the documents you upload. An automated (AI) service may read a file to confirm it is the document we asked for, at most once a day and only for newly uploaded files. A person at Dwelly reviews anything it cannot decide.
  • To process payments, send receipts and service messages, and provide support.
  • To protect against fraud and keep our systems secure.
  • To comply with the law and respond to lawful requests.

Who we share it with

We share personal information only as needed with:

  • Service providers that help us operate: Stripe (payments), email and messaging providers (such as SendGrid and SignalWire), our database and file-storage hosts (MongoDB Atlas and Cloudflare), and, if the website chat assistant or automated document checking is turned on, its AI provider (which receives only the message or file being checked).
  • Regulators and industry bodies where required, such as RECO and TRREB.
  • Professional advisers, and authorities where the law requires it.

How we protect it

Sensitive fields (SIN, HST number, banking details, headshot and resignation letter) are encrypted with AES-256-GCM before they are stored. Access to personal information is limited to people who need it to do their work. No system is completely secure, but we work to protect your information and will tell you and the Privacy Commissioner if a breach creates a real risk of significant harm.

Where it is stored

Our providers may store or process information outside Canada, including in the United States, where it may be accessible to courts and authorities under local law.

How long we keep it

We keep personal information for as long as we need it to provide your membership and to meet brokerage record-keeping and legal obligations. After that we delete or anonymize it.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent for uses that are not required to provide your membership or meet legal duties (withdrawing may limit what we can do for you). Send us a message through the contact form at dwellyagents.com/contact and we will respond within a reasonable time. If you are not satisfied, you can contact the Office of the Privacy Commissioner of Canada.

Cookies and browser storage

We use only what the site needs to work, such as keeping you signed in during onboarding. We do not use advertising cookies. If we add analytics, we will use a privacy-friendly tool that does not track you across other sites.

Changes to this policy

We may update this policy and will change the date above when we do. Material changes will be highlighted on this page.
